We are into our new facility in Acheson which is located 5 mins from Edmonton on Highway 16 (Yellowhead Trail). In our facility we have for you an onsite cafeteria, outdoor courtyard, brand new offices and manufacturing facilities, as well as access to an active social club.

We are currently seeking a Billing Clerk to provide administrative support to a department and/or manager for our Project Team.  Responsible for the development and processes of all administrative functions within the department as well as providing support and clerical services in order to ensure all effective, efficient and organized department operations.

Duties/Responsibilities:

  • Perform Accounts Receivable process such as invoicing, reporting and escalating overdue invoices for all types of equipment shipments and project milestone billing
  • Maintaining accounts receivable
  • Review contracts, purchase orders and change orders for all invoicing requirements and ensure correct information is used for billing
  • Responsible for organized and proficient data entry as well as filing documentation, managing department invoices, and collecting documentation
  • Responsible for requisitions, receiving, and accounts payable support 
  • Prepare monthly client progress reports
  • Support project based work including initial project entry and creation of project binders
  • Prepare meeting minutes, record decisions, schedule and coordinate meetings, and  prepare documents and reports
  • Prepare shipping summary and responsible for shipping details accuracy 
  • Provide receptionist service if necessary, greet customers or clients, answer any questions for customers or clients, answer and direct phone lines, and respond to inquires
  • Provide administrative support to managers, supervisors, and staff within the department
  • Perform general clerical duties to include, but not be limited to the following: photocopying, faxing, mailing, and filing
  • Create and modify documents with MS Office tools
  • Sign for and distribute overnight mailings
  • Assist with ordering office supplies as needed
  • Coordinate and maintain key records of office personnel, such as cell phone number and company credit card numbers
  • Set-up and coordinate meeting spaces and attendee list as may be required
  • Help with office orientation of new employees
  • Help set-up accommodations for company visitors
  • Answer phones and emails of clients and customers while providing helpful, professional, and exceptional customer service reflective of the organization
  • Perform other related duties as assigned

 

Job Requirements

Qualifications:

  • High School Diploma or equivalent
  • 2-3 years of Administrative experience preferably with working knowledge of projects, sales orders, billing, and collections processes using Oracle and P6
  • Ability to review complex contracts and purchase orders
  • Knowledge of Microsoft Office Suite applications with exceptional knowledge of spreadsheet applications
  • Basic reading, writing, and arithmetic skill required
  • Professional verbal and written communication skills
  • Highly organized and able to handle a high workload while having strong attention to detail
  • Accommodating, personable and comfortable with a variety of different clients and customers
  • Discreet with respect to confidential information
  • Able to solve minor problems and address concerns while having little to no supervision
  • Able to effectively communicate with both managers and colleagues on a regular basis

Working Conditions:

  • Job requires working indoors in an office setting
  • Working in front of a computer for the majority of the shift.

Physical Requirements:

  • Maintaining body equilibrium and agility to prevent falling when walking, standing, crouching, ascending or descending stairs
  • Bending the body at the waist, the legs at the knees, and extending arms and hands in any direction in a repetitive manner
  • Standing, walking and speaking for long periods of time and typing, punching or applying pressure to an object with fingers and palm
  • Using upper extremities to apply or exert a force of up to 20lbs
